Section 1. Membership
Membership in Gerdahallen is personal. When visiting Gerdahallen as a member, you are always to register by swiping your membership card. To enter the gym without your membership card, you will need to show a valid identity document. As a Gerdahallen member, you have an obligation to notify the organisation if you change your name, address, telephone number or other registered details. To train at Gerdahallen, you need to hold both active membership and an active membership card.
Section 2. The membership card
Your membership card is personal and is not to be misused or handed over to anyone else.
Misuse of your membership card is a violation of our regulations (see Section 10) and will be addressed according to Section 11. In addition, your membership card will be confiscated in case of misuse and can be redeemed against a fee set by the board.
If you lose your membership card or if it is so damaged as to be unusable, you can buy a new card for a fee of SEK 100.
Section 3. Age requirement
You can exercise in our classes without an adult to accompany you as of the year you turn 12. If accompanied by an appointed adult, you can also exercise in the gym.
You can exercise in the gym without any accompanying adult as of the year you turn 15.
Section 4. Payment
Payments are made using a debit card or Swish. We accept all cards except American Express and Diners.
Gerdahallen’s Bankgiro number is 886-0728.
Section 5. Monthly card
Section 5.1 RCP (Recurring Card Payment)
General information
An RCP (Recurring Card Payment) is a recurring monthly payment that is made in advance for the coming month and is deducted from the payer’s bank card.
By signing a card consent for payment via RCP, the payer allows that withdrawals may be made via the specified bank card, at the request of the specified payee Stiftelsen för motionsverksamhet vid Lunds universitet (Gerdahallen) on a certain day (due date) via RCP. It is the payer’s responsibility to make sure that Gerdahallen has correct bank card number and expiration date.
Payment information
The first payment is always made when signing up for an RCP agreement and the amount corresponds to the number of days remaining until the first possible withdrawal from the payer’s bank card. The amount varies depending on the date the agreement is signed.
If the agreement is signed before the 15th of the month, you pay for the remaining days of the month. If the agreement is signed after the 15th of the month, you pay for the remaining days of the month and the entire next month.
Payment is made in advance, on the 27th of each month, starting with the closest possible payment day after signing the consent.
Three attempts are made on the next banking day after the due date if there is no cover in the account on the due date. Invoice is sent to the payer’s specified e-mail address in the event of a failed draw. The training card will be blocked for entry until payment is received by Gerdahallen.
Invoicing fee / reminder fee will be added. An invoice that has fallen due is sent for collection after two reminders.
The training card will be terminated if there are at least three unpaid invoices. A final invoice will be sent if a binding period remains.
Monthly fee
Month Fixed (binding period 12 months) – If the customer is entitled to a discounted monthly fee, the certificate must be presented again no later than 30 days before the binding period expires. RCP with the discounted price is then extended until the date presented. Otherwise, the price will change to the regular price.
To maintain the discounted price, the customer is required to present a new certificate at least 10 days before the current certificate expires.
Month Flex – If the customer is entitled to a discounted monthly fee, the certificate must be presented again no later than 10 days before the date of the certificate expires. Otherwise, the price will change to the regular price.

Gerdahallen reserves the right to make price changes for training cards during the term of the agreement, but not during the binding period. Price change information is provided by email at least 30 days before it takes effect.
Freezing
Month Flex cards: with this subscription you have the right to freeze your card 2 times a year, 30-90 days per occasion.
All cards: Freezing can be granted for a minimum of one month and a maximum of six months upon presentation of a medical certificate or study certificate for studies abroad / elsewhere. A training card can be frozen two times. During the freezing period, no monthly payments are deducted, these are resumed when the training card becomes active again. Termination of RCP cannot take place during a freezing period.
Termination
Termination applies to the entire calendar month, as RCP is an ongoing monthly payment that is made in advance. An agreement that is not terminated continues without a commitment period.
Termination is made in Gerdahallen’s app under My Pages and it applies to both AG and RCP. Go to My Pages in the app> Subscription; click on the green button and then on Cancel subscription. Confirmation of the cancellation will be sent to your email address.

Month Fixed (binding period 12 months) – Termination can take place after the end of the binding period, no later than five banking days before the 27th of the current month.
Month Flex – Termination cannot take place in the same month as RCP is signed. Thereafter, termination can take place no later than five banking days before the 27th of the current month.
Gerdahallen offers two monthly cards: Standard and Flex.
Section 5.2 AG
Standard monthly card
Commitment period: 12 months. After twelve months, the agreement continues to apply until you terminate it. Once twelve months have passed, you can terminate the agreement at the latest 5 working days prior to the 27th of the current month, to avoid being charged a further month’s fees. The card is paid monthly from your bank account. If you are entitled to a discount, you must show certification again no later than 30 days before the end of your commitment period. The monthly card at the discounted fee is then extended for six months.
To sign an agreement on consent for payment via direct debit, you must be over 18 years old.
Termination is made in Gerdahallen’s app under My Pages and it applies to both AG and RCP. Go to My Pages in the app> Subscription; click on the green button and then on Cancel subscription. Confirmation of the cancellation will be sent to your email address.

Unpaid monthly fee is invoiced and an additional invoicing fee is added. Gerdahallen reserves the right to block the training card if the monthly fee remains unpaid.
The subscription is restarted when the entire debt has been paid.
There will be an invoicing fee if you do not have a valid consent.
Flex monthly card
Commitment period: current + subsequent month.
The agreement continues to apply until you terminate it. You must terminate the agreement at the latest 5 working days prior to the 27th of the current month to avoid being charged a further month’s fees. The card is paid monthly from your bank account, or by debit card. If you are entitled to a discount, you must show certification again no later than 30 days before the end of your commitment period. The monthly card at the discounted fee is then extended for six months.

Section 6. Identification
For the direct debit agreement, you need to provide a Swedish personal identity number, a Swedish bank account number and a valid Swedish ID. For any applicable discounts, you need to show certification confirming that you are entitled to them.
Section 7. Freezing or transferring your membership agreement
You can freeze your membership card by showing a doctor’s certificate or proof that you will be studying in another location. You can freeze your card for up to 6 months per year; study certification is required. Your membership card cannot be transferred to another person.
Section 8. State of health
Members and other visitors are responsible for ensuring that their state of health is such that they can take part in Gerdahallen’s activities without risk.
Section 9. Drug-free environment
Gerdahallen is to be a drug-free environment. We apply zero tolerance to the distribution and/or use of doping substances. Regular doping checks are carried out.
All sanctions regarding violations of the doping provisions are applied according to the Swedish Sports Confederation’s rules against doping and implemented through its Anti-Doping Unit.
Section 10. Behaviour & rules of conduct
It is your responsibility to follow Gerdahallen’s rules regarding a good atmosphere, hygiene, general care, training methods and order.
Your membership card is personal and is not to be misused or used by someone else.
Threats, loud behaviour or conduct that can be perceived as harassment are prohibited.
If you wish to take photographs, make videos or record other forms of sound and images, you must first request permission.
Any theft, damage or other crimes will be reported to the police.
Section 11. Violations of the rules of conduct
In case of violation of Gerdahallen’s rules of conduct, the CEO can decide to issue a warning or suspension. Cases of theft, damage or other crimes are reported to the police.
Verbal warning
A decision on a verbal warning is taken when a rule of conduct is violated for the first time.
Written warning
A decision on a written warning is taken when the rules of conduct are repeatedly violated.
Decision on suspension
A decision on suspension is taken when a verbal warning has not been heeded.
The decision on suspension applies for one year from the date of the decision by the CEO.
In case of a decision on suspension, the client is to be given the opportunity to submit a written statement on the incident within 14 days and, if they wish, to request a review of the case by Gerdahallen’s board.
In cases of grave violation of the rules of procedure, a decision on suspension can be taken without any prior verbal or written warning. The decision is to be in writing and to specify the reason/s for the suspension.
In cases of grave violation, the CEO, in consultation with the board, can decide on suspension for longer than one year.
Section 12. Practical changes
Gerdahallen reserves the right to make changes regarding opening hours, renewal of equipment and timetable planning for group exercise classes. Gerdahallen reserves the right to close certain parts of the gym/group exercise activities/changing rooms etc. for renovation, repairs, maintenance and service work. The changes will be announced to members in good time.
Section 13. Personal data (GDPR)
Data about Gerdahallen’s members is processed in compliance with the General Data Protection Regulation (GDPR). As a member, you can always obtain information on the data processed by Gerdahallen. Our members can request correction of incorrect details. Our members have the right to turn to Gerdahallen’s customer service to request that details on them be deleted if the details are not necessary to meet contractual or other legal obligations. If a member violates our rules of procedure, the member may be permanently blocked. This may entail the necessary data being saved.
Data on Gerdahallen members is not released to third parties unless it is necessary because of legal obligations or to make services available to the member such as printing and distributing marketing materials.
Gerdahallen reserves the right to amend the terms and conditions. Members will be informed of any changes.
Children under 13 need permission from their legal guardian to be registered as members in Gerdahallen.
You can provide information about yourself directly or indirectly in a number of ways. For example, when you sign a membership agreement, when you make purchases in our café or shop, when you contact us, when you use our app or website, or one of Gerdahallen’s services which involve your personal details. These can be:
• Personal and contact details – name, date of birth, personal identity number, invoicing and delivery address, email address, mobile phone number, etc.
• Payment information – invoicing information, bank account number, etc.
• Information on goods/services – details concerning the goods/services you have purchased.
• Historical information – your purchases and your payment history.
• Information on how you interact with Gerdahallen – how you use our services, how you left the service, possible automatic mailings from Gerdahallen.
• Unit information – e.g. IP address, and digital footprint when you navigate our website.
The information you give us, as well as information on the goods/services, is generally necessary to enter into an agreement with us, whereas the other information we gather is generally necessary for other purposes.

Section 14. Right of withdrawal from online purchases
The Swedish Distance and Off-Premises Contracts Act gives private individuals the right to withdraw from a purchase within 14 days of receipt.

The consumer is reimbursed without delay and no later than 14 days from their notification of withdrawal from the agreement.

Section 15. Force Majeure
Gerdahallen declines any liability in case of natural disasters, unforeseeable major incidents and obstacles beyond Gerdahallen’s control.
